Bring your own trunk
Hosted PBX from MapleReceptionist costs $99 CAD/month for the phone system and up to 10 extensions - the same price whether you run 3 extensions or 10. Every extension after that is $8.40 a month, up to 25 extensions. Above 25 we quote individually. You keep your existing phone lines, numbers and carrier. This price covers the phone system only: no numbers, no minutes, no SMS.
Hosted PBX pricing at a glance
CAD, plus HST. The base covers extensions 1 to 10; each extension after that is added on. Setup is charged once.
One base price for the system, then one rate per extension. There is no cliff between plans: your eleventh hire costs one extension, not a whole new tier. Desks, softphones and mobiles all count the same.
Most common
Single-site offices, clinics and small call rooms. The same price whether you run 3 extensions or 10.
$99 CAD/mo
The same price at 3 extensions as at 10. At 10, that is $9.90 per extension.
Setup
$350 one-time, or $250 with a 12-month commitment.
Growing teams. You add people one at a time and pay for one extension - there is no jump onto a different plan.
+$8.40 CAD/mo each
Added to the base plan. 15 extensions = $141.00/month. 25 extensions = $225.00/month.
Setup
$750 one-time.
Multi-department and multi-site builds. We quote these one at a time so the price matches the real support load rather than a number we picked in advance.
Let us quote it
We do not publish a rate at this size. A 40-extension build and a 40-extension multi-site build are not the same job, and pricing them the same would be guesswork.
Setup
Quoted with the build, once we know the scope.

Set your extension count and your monthly price and setup fee appear. The first 10 extensions are covered by the base price; each one after that adds $8.40 a month.
CAD, plus HST. The phone system only - no numbers, no minutes, no SMS. Setup is charged once.
Over 25 extensions? Talk to us and we will quote it properly. Extensions added mid-month are prorated onto your next renewal, never billed as a surprise mid-month invoice.
This is a deliberately narrow product. Being clear about the edges is cheaper for everyone than a surprise later.
You already pay a carrier for your lines and minutes, so we do not resell them back to you. If you would rather we supplied numbers and minutes as well, that is our other pricing page.
Both of these are off unless you ask for them, and both are billed only on what you actually use. If you never use them, you are never charged for them.
Switch it on and every voicemail arrives as readable text alongside the recording, so you can scan your messages instead of listening to all of them.
Billed monthly on actual usage, in Canadian dollars, HST extra. The meter runs on the length of the recording, not the number of words - a 40-second message with pauses in it costs the same as a dense one.
| What it looks like | Cost |
|---|---|
| A 30-second voicemail | $0.0060 |
| A 1-minute voicemail | $0.0119 |
| A 3-minute voicemail (our maximum message length) | $0.0358 |
| 50 voicemails a month, 30 seconds average | $0.30 |
| 200 voicemails a month, 30 seconds average | $1.19 |
| 500 voicemails a month, 30 seconds average | $2.98 |
No minimum and no monthly fee. If nobody leaves a message, you are charged nothing. Most single-site offices land well under a dollar a month.
Already on an AI receptionist plan? Voicemail transcription is already included there at no extra charge.
If your own lines go down - a cut cable, a carrier outage, a failed gateway - your extensions can keep placing outbound calls over our backup carrier instead of yours, still showing your own number to the person you are calling.
Billed monthly on actual usage, in Canadian dollars, HST extra. You are charged only for minutes that failover actually carries. There is no standby fee for having it configured.
| What it looks like | Cost |
|---|---|
| A 3-minute outbound call while failed over | $0.042 |
| An hour of outbound calling while failed over | $0.83 |
| A full day of outbound calling (4 hours of talk time) | $3.34 |
| A week-long outage at that rate | $16.68 |
Before you turn this on
Two setups cover almost everyone.
Your lines plug into a small gateway box at your office, which links up to your hosted phone system. Your lines, your numbers and your carrier bill all stay exactly where they are. If you already have a gateway, you keep using it.
We point your existing trunk at your new phone system. Nothing changes on your carrier account, and your numbers never move.
We are responsible for the hosted phone system, the call routing, and the configuration of your handsets. The physical lines stay your carrier's responsibility - line quality, static, and carrier outages are between you and them. We will help you work out which side a fault sits on, and we put this boundary in writing before you sign, so nobody is guessing when something breaks.
Almost always, yes. The system is built on Asterisk and speaks standard SIP, so it is not tied to any one phone brand. If your handset is a SIP phone, it can register to us. Yealink, Grandstream, Poly, Snom, Fanvil, Cisco sets on multiplatform firmware, ATA adapters and softphones all work.
The real exception is proprietary digital sets - Nortel Norstar and Meridian, Avaya 1400 and 9500, Mitel Superset, Panasonic KX-T, NEC DTerm. Those are not SIP phones and no amount of configuration will make them register. We would rather say that before you buy than after.
We keep a compatibility list by brand and range, marking which models we actually run in production, which are standards-compliant, which need a specific condition met, and which will never work at all.
Check your phone modelCannot find your device? Send us the model number and we will give you a straight answer, including when the answer is no.
A phone system is only as steady as the rack it sits in. We keep a short list of the racks, battery backups and rack power bars we actually put in front of customers, so you are not guessing which of the forty listings is the right one.
Rack enclosures and open frames, battery backups sized for a phone system that has to keep answering through an outage, and metered or switched rack power bars.
Browse the equipment listThese are Amazon links and we earn a small commission on qualifying purchases, at no extra cost to you. Buying through them is optional - if you already have the gear, or you would rather source it elsewhere, that is completely fine and changes nothing about your quote.
Most Canadian hosted phone providers quote somewhere between $20 and $35 per seat per month. That is a fair price - but it includes your phone lines and your calling minutes, because they become your carrier.
You already have a carrier. So we are selling you the smaller thing: the phone system on its own. In the Canadian market that runs $8 to $15 per seat per month, and from ten extensions up the real cost works out to between $9.00 and $9.90 per extension, with each additional extension adding only $8.40.
Which is genuinely better depends on your situation. If you want one bill and one company for everything, a full-service provider may suit you and we will say so. If you are happy with your lines, locked into a carrier contract, or simply do not want to move your numbers, this is the cheaper and less disruptive path.
Not everyone wants a subscription. We also build on-premise phone systems that live in your building, and you own the equipment outright. No rental, no server that stops working the day you leave us.
On-premise builds start at $1,500 CAD depending on hardware and line count, and are quoted individually. A support contract is separate and optional - the system is yours either way.
See on-premise buildsThe last few are lifted straight from the main MapleReceptionist help centre, because billing and support work the same way on this product. If you came here for AI call answering instead, that is the AI receptionist product page.
It means you keep your existing phone lines and your existing phone numbers exactly as they are. We host the phone system itself - the part that rings the right desk, takes messages, and runs your menus - and it connects out through the lines you already pay for. Nothing moves at your carrier, and your published number never changes.
Because it is a smaller product. Most hosted phone providers quote $20 to $35 per seat per month, but that price includes your phone lines and your calling minutes. Ours does not - you already have those. We are pricing the phone system on its own, which is the $8 to $15 per seat range in the Canadian market. At ten extensions we work out to $9.90 each, and every extension after that is $8.40.
No, and that is the point of this product. Your numbers stay with your current carrier on your current contract. Many businesses are locked into multi-year carrier agreements where leaving early triggers a termination charge, or where the phone lines are discounted because they are bundled with the internet. Keeping your lines avoids all of that.
Often not, and we would rather say so up front. Hosted PBX and the MapleReceptionist plans are largely the same platform; the difference is who supplies the line. Here you bring your own, and the $99 base buys the system itself, so it costs the same at 2 extensions as at 10 - the value only appears once you have a handful of people, a call flow and a menu to run. The MapleReceptionist plans include a Canadian number and minutes and start at $25 CAD/month, which for a two or three phone office usually costs less than $99 on top of the carrier bill you already pay. Hosted PBX earns its keep from about five extensions up, or sooner if you are contractually stuck with your current lines.
You add an extension and your monthly price goes up by $8.40, prorated onto your next renewal - never a surprise mid-month bill. There is no jump onto a bigger plan: the eleventh extension costs the same as the twelfth. Past 25 extensions we stop publishing a rate and quote your build individually.
Almost always, yes. Standard SIP handsets from Yealink, Grandstream, Polycom, Cisco and most other manufacturers will work. We reconfigure them to register with your new system as part of setup. You do not buy hardware from us.
Building your system: creating every extension, building your call flow and menus, configuring your gateway or SIP trunk, and configuring each handset. For ten phones that is most of a working day. It is a one-time fee, and in the base plan it drops from $350 to $250 if you commit to twelve months.
Your carrier is, and we say so in writing. Line quality, static, and outages on the physical lines are between you and the company that supplies them. We are responsible for the hosted phone system, the call routing, and the configuration of your handsets. We will help you diagnose which side a fault is on, but we cannot fix your carrier.
No. This page prices the hosted phone system only. The AI receptionist is a separate product with its own pricing, and the two can be combined if you want them to be. Plenty of businesses on this plan deliberately do not want AI answering their phone, and that is a perfectly good reason to be here.
Month to month, unless you choose the discounted setup fee in the base plan, which asks for twelve months. Cancel any time otherwise.
It is an optional add-on at $0.0119 CAD per minute of voicemail audio, billed monthly on what you actually use. That is about six tenths of a cent for a 30-second message, so an office taking 200 voicemails a month usually pays around $1.19. It is metered on the length of the recording rather than the number of words, there is no minimum, and it stays off unless you ask for it. If you are on one of our AI receptionist plans, voicemail transcription is already included at no extra charge.
By default, nothing we can do - your lines are your carrier's responsibility and calls stop until they restore service. If you add carrier failover, your extensions keep placing outbound calls over our backup carrier at $0.0139 CAD per minute, still presenting your own number, and you are billed only for the minutes it actually carries. It covers outbound calling only: incoming calls still arrive on your carrier's lines, so restoring those remains between you and them.
Yes. Hosted PBX is priced and billed in Canadian Dollars, same as every other MapleReceptionist plan. HST is added at checkout based on your province. There are no USD conversions, no foreign-exchange surprises, and no hidden currency fees.
Visa, Mastercard and American Express via Stripe, plus Interac e-Transfer for Canadian customers who prefer to pay directly from a Canadian bank account. Either way you get a proper Canadian invoice with HST line items and CAD totals emailed after every charge.
The same way every MapleReceptionist customer does: email support@mapleworksuite.com, or book a time with us directly. Configuration changes - a new extension, a changed menu, a different ring order - are part of the monthly fee, not a billable ticket. Our help centre answers the common questions first if you would rather not wait.
Yes, and plenty of people do. The hosted phone system and the AI receptionist are separate products that sit together cleanly: the AI answers the calls you want it to answer and hands the rest to the extensions you already have. You can add it whenever you are ready, and nothing about your lines or your handsets has to change again.
Yes. The system runs on Asterisk and speaks standard SIP, so it is not locked to a phone brand. Yealink, Grandstream, Poly, Snom, Fanvil, Cisco sets running multiplatform firmware, ATA adapters and softphones all register to it. If your phones are currently locked to another provider they may need to be unlocked or factory reset first, which we handle during setup. The one category that genuinely cannot work is proprietary digital sets such as Nortel Norstar, Avaya 1400 and 9500, Mitel Superset or Panasonic KX-T - those are not SIP phones and never will be. We publish a per-model compatibility list so you can check before you commit.
Yes. Alongside the hosted service we build on-premise phone systems that sit in your own building, and you own the hardware outright - there is no rental and nothing stops working if you stop being a customer. On-premise builds start at $1,500 CAD depending on hardware and how many lines you are bringing in, and each one is quoted individually. A support contract is separate and optional. Hosted suits most small offices because there is no capital cost and we maintain it; on-premise suits businesses that want the asset on their own books, need the system to keep running independently of their internet connection, or have policy reasons to keep call handling in the building.
Send us your extension count and how your lines come in today. We will come back with a fixed monthly price and a fixed setup fee - no discovery call required first.
